Plain English summary: Clip is a case logging tool for ophthalmic surgeons. We store the data you enter. Patient identifiers are encrypted on your device before they reach our servers — we cannot read them. We do not sell your data and we do not use your clinical data for advertising.

1. Who we are

Clip is operated by the Clip team. We are currently in private beta. Contact for privacy enquiries: mikisu.dev@gmail.com.

2. What data we collect

Waitlist & account data

  • Email address
  • Name (optional)
  • Role: Surgeon / Resident / Fellow / Other
  • Specialty (e.g. cataract, retina, glaucoma)
  • Whether you'd like early beta access

Survey responses

  • Your answers to the validation survey: current logging method, biggest pain, photo/video use, willingness to pay, optional email

Case log data (in the beta app)

  • Procedure type, date, eye laterality, IOL details, complications, outcome
  • Patient name and patient ID — encrypted end-to-end on your device before transmission
  • Clinical notes, voice transcripts, slit-lamp photos and surgical videos
  • Pre-op and post-op findings

Usage data

  • Feature usage, error logs, and performance metrics
  • IP address and device type for security

3. How we use your data

  • To provide and improve Clip
  • To process AI features (OCR, voice transcription, semantic search) in memory — plaintext is never written to our database after processing
  • To send transactional emails (waitlist confirmation, beta invites, password reset)
  • To detect and prevent fraud and abuse
  • To comply with applicable law

We do not use your clinical data for advertising, behavioural profiling, or to train AI models without your explicit consent.

4. Protected Health Information (PHI)

Clip is designed for use in a clinical context. We take the following measures:

  • End-to-end encryption for patient name and patient ID using Curve25519 / XSalsa20 (TweetNaCl)
  • All transport secured with TLS 1.2+
  • All database records encrypted at rest
  • Row-level security — each surgeon can only access their own records
  • Sub-processors used for the service have signed or are in the process of signing Business Associate Agreements

You are responsible for ensuring your use of Clip complies with the privacy laws and institutional policies applicable in your jurisdiction.

5. Who we share data with

We do not sell your data. We share data only with sub-processors required to run the service:

  • Cloud database & authentication provider
  • Cloud storage for media files
  • AI inference provider for OCR and semantic search
  • Email delivery provider for transactional mail
  • Error monitoring (stack traces only — no clinical data)

6. Data retention

We retain your account and case data for as long as your account is active. If you delete your account, we will delete or anonymise your personal data within 30 days, except where retention is required by law.

7. Your rights

  • Access a copy of the data we hold about you
  • Correct inaccurate data
  • Request deletion (right to erasure)
  • Object to or restrict processing
  • Data portability — export your case log at any time

9. Cookies & analytics

Our marketing website uses only the cookies needed for site functionality. The beta app uses session cookies required for authentication. We do not use third-party advertising cookies.

We may update this policy from time to time. We'll notify you of material changes by email or by a notice in the app.
